WestHalo — Frequently Asked Questions
About WestHalo
What is WestHalo?
WestHalo is a remote, non-medical senior concierge & care coordination service. Think of us as your family’s project manager—we plan, coordinate, and communicate so
life runs smoothly with discretion.
Are you a home-health or medical provider?
No. We do not provide medical care, diagnosis, treatment, medication management, hands-on care, or driving. We coordinate logistics around your needs and, with your
permission, liaise with providers you choose.
Where do you operate?
We are remote-only and support families nationwide (HQ: New Jersey). When on-site help is needed, we source and coordinate vetted third-party providers in your area.
What We Do (and Don’t)
What’s included with WestHalo?
-
Care & lifestyle coordination (calendars, reminders, reservations)
-
Vendor sourcing & shortlists (you approve; we coordinate)
-
Follow-ups & confirmations
-
Weekly Family Update (clear summary of what’s done/next)
-
A single point of contact who knows your family’s preferences
What’s not included?
-
Medical/clinical tasks, hands-on caregiving, driving/transport
-
Legal, tax, or financial advice
-
Paying third-party vendors on your behalf (you pay them directly)
Can you attend appointments in person?
We’re remote-only. If in-person accompaniment is needed, we’ll source a vetted partner and coordinate everything for you.
Can you work with my loved one who isn’t tech-savvy?
Yes. We tailor communication to your family—phone calls, email with you as proxy, or updates to a designated contact.
Getting Started & Onboarding
How do we begin?
Book a complimentary private consultation. If it’s a fit, you’ll:
-
Complete a short Family Profile, and
-
Schedule a Welcome Call to set priorities, permissions, and communication.
What do you need from us to start?
Names/roles, contact preferences, who we’re authorized to speak with, key providers, and any immediate priorities or constraints (schedule, budget, language, cultural
preferences).
How fast can you get moving?
After onboarding, we typically begin coordination the same or next business day for standard items.
Pricing, Billing & Cancellations
How much does it cost?
$499/month, billed in advance. The plan auto-renews monthly until you cancel.
Can I cancel anytime?
Yes. Cancel anytime; service continues through the end of your current month. No partial refunds for unused time.
Can I pause my plan?
Once per year you can pause up to 30 days; we credit the remaining days forward (no cash refunds).
Do you offer upgrades or add-ons?
Yes—for after-hours needs, accelerated sourcing, or complex projects. We’ll propose scope and fees before proceeding.
Communication & Availability
What are your hours and response times?
Mon–Fri, 9:00–6:00 ET. We aim to reply within 1 business hour during service hours; after hours, by next business day.
Is WestHalo for emergencies?
No. We’re not an emergency service. For emergencies, call 911 first; we can coordinate non-emergency follow-up.
How do you keep us updated?
You get a Weekly Family Update and ad-hoc messages for key confirmations/decisions—via your preferred channels.
Providers, Liability & Payments
How do you choose third-party providers?
We curate options based on your criteria (location, budget, language, cultural fit), check licenses/insurance where applicable, and present a shortlist. You make the final
selection.
Do you take commissions from providers?
No. If a referral fee ever applies, we disclose it and only proceed with your approval.
Who pays outside vendors?
You do—directly under their terms. WestHalo doesn’t hold client funds or mark up third-party services.
Are you insured?
Yes—WestHalo maintains business insurance for our coordination services. Third-party providers maintain their own coverage.
Privacy, Security & Discretion
Is my information private?
Yes. We operate with strict discretion and follow our Privacy Policy. We’re not a HIPAA-covered entity, but we handle sensitive context with heightened care and only as
you instruct.
Will you sign an NDA?
We can review a reasonable NDA. Our standard confidentiality is already strong, and we avoid sharing unnecessary details.
How do you communicate securely?
Email and phone/SMS are standard; we can use secure links for documents. Tell us your preferences during onboarding.
Special Situations
Hospital discharge or new diagnosis—can you help?
We can coordinate non-medical logistics (follow-up scheduling, transportation vendors, home services, reminders) and organize information for the family. We don’t
provide medical guidance.
Out-of-state family?
No problem—our remote model works well when decision-makers live in different places.
Language or cultural preferences?
Tell us what matters; we’ll prioritize providers and communication approaches that fit your family.
Corporate, Gifting & Admin
Can an employer sponsor WestHalo for employees?
Yes. We support corporate sponsorships and can provide aggregated, de-identified usage summaries to HR.
Can I purchase WestHalo for someone else?
Yes—just ensure you have authority to share their information or we get their consent.
Do you offer receipts for FSA/HSA?
We can provide itemized receipts; however, eligibility varies—please confirm with your plan administrator.
Results & Fit
What outcomes should we expect?
A calmer calendar, fewer missed details, faster sourcing of vetted options, and clear weekly visibility into what’s done and what’s next—delivered with discretion.
Who is WestHalo best for?
Families who want one accountable coordinator to manage details, communicate clearly, and keep life organized—without adding noise.
